1. General Health & Safety Responsibilities
To ensure the safety of staff, clients, and the public, all cleaners must adhere to the following standards:
- Conduct regular risk assessments at every job site (residential and commercial)
- The use of appropriate Personal Protective Equipment (PPE), including gloves and suitable non-slip footwear, is mandatory
- All staff must understand and follow COSHH regulations when handling cleaning chemicals
- Any incidents, accidents, hazards, or near misses must be reported to management immediately
- Cleaners must not lift heavy items alone without appropriate training or assistance
- Hands must be washed regularly, particularly before and after handling cleaning products
2. Colour-Coded Cleaning System
To prevent cross-contamination and maintain hygiene standards, all staff must follow the colour-coded cloth and product system at all times. This system is mandatory and non-negotiable.
- Cleaners must strictly adhere to the colour-coded cloth and product system as detailed in the Cleaning Checklist
- Cleaning cloths, mop heads, and designated products must only be used in their assigned areas
- Colour codes must never be mixed between areas (e.g. washrooms, kitchens, general spaces)
- All equipment must be cleaned and stored correctly after use
This system must be followed on every job without exception.
3. COSHH Guidelines
Under UK law (Control of Substances Hazardous to Health Regulations 2002), employers are required to control substances that may be hazardous to health. All cleaners must:
- Read and understand safety labels and product data sheets before use
- Store all chemicals securely and safely, away from children and pets
- Wear the appropriate PPE when handling hazardous substances
- Never mix chemicals unless explicitly instructed and trained to do so
- Understand basic first-aid procedures in the event of exposure or spillage
- Report any chemical spillages immediately to management

4. Professional Standards
- Cleaners must never rush tasks in a way that compromises safety
- Equipment must be checked before use to ensure it is in safe working condition
- Unsafe environments or hazards must be reported before work begins
- Any concerns about a site's safety must be raised with management before proceeding
5. Reporting
All incidents, accidents, near misses, and hazards must be reported to management immediately — regardless of whether injury or damage occurred. Early reporting helps us prevent future incidents and meet our legal obligations.
